How to get paid on time as a construction contractor

On Behalf of | Nov 3, 2025 | Construction Law |

Delayed payment is a major problem faced by contractors in the construction industry. Waiting for months to receive payments for invoices is almost considered normal, yet it usually leads to substantial cash flow problems.

So, how can you, as a contractor, ensure you get paid on time?

Include clear payment terms in your contract

All clauses in your contract, including your payment terms and conditions, should be clear. You need to state:

  • The total project cost
  • The scope of work
  • The estimated cost for each part of the project
  • An estimate for materials and labor costs
  • How much deposit should be paid to cover initial costs
  • When payments should be made
  • Accepted payment methods

It’s also recommended to include late payment penalties to encourage clients to pay on time. This can be an interest charge or a flat fee. When your payment terms are clearly detailed, clients understand their rights and obligations before they sign the agreement.

Send invoices on time

Understandably, when a contractor is working for long periods, handling paperwork may slip their mind. However, this may translate to late invoices. Embracing technology can significantly benefit you. Consider using billing systems with features like automation and cost tracking to make your work easier, allowing you to send invoices on time.

Moreover, always double-check your invoices to ensure they are accurate and have all the necessary information. Errors, such as missing details, typos, and missing supporting documentation, can result in delays.

Follow up immediately

It’s important to remind clients about payment a few days in advance. If it’s not made on the agreed date, politely follow up immediately. A delay in payment can lead to financial issues and damaged relationships with subcontractors and workers. If you have a payment dispute with a client, legal guidance can help you protect your business.
